How to Manage Contacts, Lists, Tags & Custom Fields

Your contacts are the people you message on WhatsApp. HitlChat gives you four tools to keep them organized — contacts themselves, lists and tags to group them, and custom fields to store extra details. Together they decide who you broadcast to and how you personalize messages. Here’s how each one works.

Before you start

  • You need a connected WhatsApp Business profile (or WebChat channel). Until then these pages prompt you to connect first, e.g. “To manage contacts you need to first connect a WhatsApp Business profile.”
  • Everything lives in the Contacts section of the left menu: Contacts, Tags, Lists, Custom Fields, and Import / Export.

Contacts

The Contacts page

Open Contacts from the left menu to see everyone you can message. The table shows each contact’s Name, a Subscribed? status (green = subscribed, red = unsubscribed), and when they were Created and Last Modified, with edit and delete actions.

To find people quickly:

  • Search contacts by name or number.
  • Filter by list (including special views like “Contacts not in a list” and “Contacts without a tag”).
  • Filter by one or more tags.

New here? You’ll see “No contacts yet. Click ‘Import / Export’ on the top right to import contacts from a CSV file.”

Add Contact

Add or edit a contact

Click Add Contact (top-right), or the pencil icon on a row to edit. The form has:

  • First Name (required) and Last Name.
  • WhatsApp Number (required) — always include the country code.
  • Subscription Status — Subscribed or Unsubscribed (see next section).
  • Lists (multi select) and Tags (multi select) — hold Ctrl (Windows) or Command (Mac) to pick several.
  • Custom Fields — any extra fields you’ve created appear here to fill in.

Click Save (or Update when editing). To remove someone, use the trash icon and confirm.

Subscribed?

Subscription status

Each contact is Subscribed or Unsubscribed. This reflects whether they’ve opted in to receive your messages — respect it to stay compliant and protect your WhatsApp number. You can set it on the contact form, or change it for many people at once with bulk actions (next). The Contacts table shows the status as a coloured pill so you can see opt-in health at a glance.

Bulk actions — update many contacts at once

Tick the checkboxes next to contacts (or use Select all matching contacts to span every page that matches your current filter) and the Bulk Actions dropdown lights up. From there you can:

  • Lists: Add to list, Remove from list, or Remove from all lists.
  • Tags: Add tag, Remove tag, or Remove all tags.
  • Opt-in status: Subscribe or Unsubscribe.
  • Contacts: Delete contacts.

Pick an action, choose the target list/tag if asked, then click Apply (or Delete). A plain-language banner confirms exactly what will happen, e.g. “Tag 25 contacts with ‘VIP’”. This is the main way to organize existing contacts into lists and tags.

Lists

Contact Lists

Lists are named groups of contacts — “Create contact lists for better organization of your contacts.” Think of them as audiences: Newsletter, VIP customers, Event attendees. When you send a broadcast, you choose which lists receive it.

On the Lists page (heading Contact Lists) you’ll see each list’s name, contact count and created date.

  • Create: click Add List, enter a List Name (up to 30 characters), and Save.
  • Edit / delete: use the row actions. Deleting a list “will not delete any contacts” — it just removes the grouping.
  • Add contacts to a list: from Contacts using Bulk Actions → Add to list, on a contact’s form, or during a CSV import.

Tags

Tags

Tags are flexible labels — “Create tags to better organize and categorize your contacts.” A contact can carry many tags (e.g. VIP, Interested, Spanish), which makes them great for filtering and for targeting or refining a broadcast audience.

On the Tags page you’ll see each tag’s name and contact count.

  • Create: click Add Tag, enter a Tag Name (up to 30 characters), and Save.
  • Edit / delete: via the row actions (deleting a tag doesn’t delete contacts).
  • Apply tags: from Contacts → Bulk Actions → Add tag, on a contact’s form, during import, or automatically as messages arrive using Automations.
Because tags can be applied automatically, they’re ideal for behaviour-based segments (e.g. tag everyone who replies “PROMO”).

Custom Fields

Custom Fields

Custom fields let you “store additional information about your contacts” beyond name and number — think Company, Order number, Booking date. Once created, “these fields will be available when viewing or editing contacts,” and you can drop them into broadcasts as personalization variables.

  • Create: on the Custom Fields page click Add Custom Field, enter a Field Name (up to 30 characters), and Save. Your plan sets how many custom fields you can have.
  • Fill in values: open any contact — the custom fields appear on the Add/Edit Contact form — or set them in bulk via CSV import.
Deleting a custom field also deletes its data: “Deleting this custom Contact field will delete any data that you may have had stored in it — data could be lost across all of your contacts.” With many contacts the change “could take up to a minute”.

Lists vs tags — which should I use?

They overlap, but a simple rule of thumb:

  • Lists — broader audiences you deliberately build and broadcast to (a contact is usually in a few). Best for “who is this campaign for?”
  • Tags — lots of small, flexible labels, often applied automatically, used to filter and segment (a contact can have many). Best for “what do I know about this person?”

When sending a broadcast you can target by lists, tags, or both — so use whichever (or a combination) best describes the audience you want.

How do I add a contact in HitlChat?

Open Contacts and click Add Contact. Enter a first name and WhatsApp number (with country code), set the subscription status, optionally assign lists, tags and custom fields, then Save. To add many at once, use a CSV import.

What's the difference between a list and a tag?

Both group contacts. Lists are deliberate audiences you broadcast to; tags are flexible labels (often applied automatically) used to filter and segment. A contact can be in several lists and carry many tags, and you can target broadcasts by either or both.

How do I add lots of contacts to a list or tag at once?

On the Contacts page, select the contacts (or “Select all matching contacts”), open Bulk Actions, choose Add to list or Add tag, pick the target, and click Apply.

What are custom fields for?

They store extra information about a contact (e.g. company, order number, booking date) beyond name and number. After you create a custom field it appears on every contact’s form, and you can use it to personalize broadcast messages.

What happens if I delete a custom field?

Its stored data is removed from all contacts — HitlChat warns that data could be lost across your contacts. Only delete a field you’re sure you no longer need.

Does deleting a list or tag delete the contacts in it?

No. Deleting a list or tag only removes that grouping/label — the contacts themselves stay. (Deleting a custom field, however, does delete its data.)

What does Subscribed / Unsubscribed mean?

It reflects whether a contact has opted in to your messages. Keep it accurate to stay compliant and protect your number. Set it on the contact form, or change it for many contacts using Bulk Actions → Subscribe / Unsubscribe.

Can tags be applied automatically?

Yes — as the Tags page notes, “you can also tag contacts automatically as messages arrive using Automations.” That makes tags useful for behaviour-based segments.

How do I filter the contacts table?

Use the search box, the list filter (including “Contacts not in a list” and “Contacts without a tag”), and the multi-select tag filter. Combine them to find exactly the people you need before a bulk action.

Why can't I add contacts, lists or tags?

These features require a connected WhatsApp Business profile (or WebChat channel). If you’re not connected, the page prompts you to connect first and the Add buttons are disabled. Plan limits also cap how many contacts, lists, tags and custom fields you can create.
