How to Manage Agency Clients in HitlChat

If you run an agency, the My Clients page lets you onboard and manage client accounts from one place — invite clients with a branded sign-up link, log straight into their account to set up their Botpress or Voiceflow WhatsApp bot, track each client’s status, and keep an eye on their invoices. Here’s how it works.

Before you start

  • My Clients is for agency accounts — it appears in the My Account menu only for agency admins.
  • It’s built for agencies that set up and run WhatsApp + chatbot solutions (for example a Botpress or Voiceflow bot with human handoff) on behalf of their clients.
Each client gets their own HitlChat account; you stay linked to it as their agency and can jump in whenever you need to.

Invite Clients

Invite a client

In the Invite Clients panel: “Invite your clients to create their HitlChat account. They will receive a branded registration link via email and be automatically linked to your agency.” Fill in:

  • Client Email (required).
  • First Name and Last Name (optional).

Click Send Invite. You’ll see “Client invitation sent successfully.” If the person already has an active HitlChat account, a consent email is sent instead — the link activates once they approve.

Your Clients & what each status means

The Your Clients table lists everyone you’ve invited, with their Email, an API Key copy button, a User Login status, and (for active clients) their Trial Status, Subscription and Plan. The login statuses are:

  • Pending — invited; waiting for the client to register.
  • Awaiting Consent — the client already had an account; waiting for them to approve the link.
  • Active — linked and ready; you can now log in as them.
  • Revoked — the link has been removed.

Manage, resend or revoke a client

  • Manage (active clients) — click Manage (“Log in as this client”) to open the “Manage Client Account” prompt, then Log in as Client. You get full access to their account — set up their Botpress/Voiceflow connection, build templates, send broadcasts, configure handoff — then return via the “Back to Agency” option in the top-right menu.
  • Resend — for pending / awaiting-consent clients, resend the invitation email.
  • API Key — copy a client’s API key for programmatic access.
  • Revoke (trash icon) — opens “Confirm Revoke”. This removes the link between your agency and their account, but does not delete their HitlChat account.

Agency Branding

Brand your clients’ login page

The Agency Branding panel lets you “customise the login and registration pages that your clients see”:

  • Agency Name — shown on the branded pages.
  • Agency LogoUpload Logo (PNG, JPG, SVG or WebP, up to 2 MB); Remove Logo to clear it.
  • Brand Colour — pick a colour or enter a hex value.
  • Branded Login Link — “Share your own branded login page with your clients.” Copy this link and send it to clients so they sign in on your-branded page.

Click Save Branding to apply. (Uploading or removing a logo only takes effect once you save.)

Client Invoices

Client invoices & commission

The Client Invoices table shows each client’s billing at a glance — Plan, Plan Status, Frequency, Invoice Date, Invoice Status and Amount.

If your agency earns commission, you’ll also see Comm Amount and Comm Status columns, an unpaid-commission badge, a Comm Status filter, and Mark Paid / Mark All as Paid controls to reconcile what’s been settled.

No invoices yet? You’ll see “No invoices found for your clients” until your clients are on paid plans.

What is the My Clients page for?

It lets an agency invite and manage client HitlChat accounts from one place — ideal if you set up and run WhatsApp chatbots (e.g. Botpress or Voiceflow with human handoff) for multiple clients. You can log in as a client, track their status, brand their login page and view their invoices.

How do I add a client?

In the Invite Clients panel, enter the client’s email (name optional) and click Send Invite. They get a branded registration link by email and are automatically linked to your agency.

What does “Awaiting Consent” mean?

The person you invited already has a HitlChat account, so instead of a sign-up link they receive a consent email. The link becomes active — and you can manage them — once they approve it.

How do I work inside a client's account?

For an active client, click Manage (“Log in as this client”) and confirm. You then have full access to set up their Botpress or Voiceflow connection, templates, broadcasts and handoff settings. Use Back to Agency in the top-right menu to return to your own account.

If I revoke a client, is their account deleted?

No. Revoking only removes the link between your agency and their account — their HitlChat account and data remain intact.

Can I white-label the experience for clients?

Yes. Under Agency Branding, set your agency name, logo and brand colour, then share your Branded Login Link so clients sign in on a page that carries your brand.

Where do I see what my clients are paying?

The Client Invoices table lists each client’s plan, invoice status and amount. Commission-earning agencies also see commission amounts/statuses and can mark commissions as paid.

Can I get a client's API key?

Yes — use the Copy API Key button in the Your Clients table to copy a client’s key for programmatic access via the HitlChat API.
